A travel management company streamlines its operations with FileMaker
aQb Solutions helped an event and travel management company of about 50 employees set in Canada. The company is actively involved in event management, hotel rooms booking, excursion planning, airplane tickets, event booking, and planning.

At the time, the company was maintaining its operations mostly through Microsoft applications. Invoices were being manually created in Word and many complex reports were created in Excel, which represented a cumbersome process. The complex nature of the invoices involved hours to completely collate all the data and generate an invoice. Finally, reports like rooming lists would take days to create before being sent to hotels prior to an event.
Globally, valuable resource time was lost.
aQb Solutions designed a custom FileMaker application for the company in order to streamline its processes and optimize its global performance.
As a result, the application not only digitised the whole business process, it also drastically reduced time to generate invoices with complex structures and automatically collate data from multiple sections. Complex reports could be generated in minutes, which used to take days to create beforehand.
The data being stored digitally, new reports could be developed with much less effort. Apart from the reports and documents required for the operations, management asked for other reports which gave them an overview of the company’s efficiency in terms of revenue and operations.
PayPal was introduced as a payment option along with cash payment, check and net banking for efficient transactions. The solution also included the automation of the customers’ allocation in hotel rooms or events, resulting in higher accuracy with bookings and customer satisfaction.
In conclusion, the application was gradually fine-tuned to provide features like splitting invoices, inventory management, lead management etc.
