Located in Weija, a suburb of Accra, Ghana, DC Clinic is a growing private healthcare provider offering outpatient and inpatient services, including consultations, laboratory services and pharmacy.
The clinic opened its doors at the end of 2024 and officially launched in early 2025 with a clear mission: serve the local community with quality, accessible healthcare.
The challenge: From paper to digital
When the clinic officially launched, operations were entirely paper-based. Patient records were kept in notebooks, consultation notes were handwritten in physical files, payments were tracked in cash books, and appointments were managed verbally. There was no system, no audit trail, and no real-time visibility into the clinic’s daily activities.
As patient numbers began to grow, these manual processes quickly became a bottleneck. Manual systems led to inefficiencies, frequent errors, and a lack of real-time visibility into operations. Finding patient histories took time and billing errors were common. Even basic questions, like daily revenue or stock levels, required manual reconciliation.
For the clinic’s management, the lack of visibility was a major pain point. With the head doctor not based in Ghana, gaining visibility into revenue, expenses, and overall clinic performance was nearly impossible without time-consuming manual compilation.
It became increasingly clear that the clinic needed a more efficient, reliable, and scalable way to operate.
The search for the right fit
DC Clinic explored several options before settling on a custom-built platform.
The clinic’s first attempt was to adopt Excel spreadsheets. But the solution quickly proved unsustainable. Managing interconnected medical data, patient histories, visits, billing, and inventory, across disconnected spreadsheets introduced more complexity than it resolved.
After this failed attempt, DC Clinic turned to the off-the-shelf hospital management systems available in Ghana, including a government-backed system used by some public hospitals. However, these options presented their own set of problems: they were either too expensive, too complex, or simply not a good fit for their specific needs.
After evaluating these options, one conclusion stood out: no existing solution provided the right balance of affordability, flexibility, and usability.
A custom-built system, tailored to the clinic’s exact needs, became the obvious path forward.
The solution: CarePort – A custom-built digital ecosystem
DC Clinic met with several potential developers before choosing Caufero, our Claris Partner in Ghana, specialized in software development, with a young but ambitious team. The initial conversations were promising, yet the clinic’s leadership, having already been disappointed by other companies, remained understandably skeptical.
To overcome this hesitation, the Caufero team stepped in with a bold proposition: “give us one week to prove what we can do”.
In just one week, the team built a functional prototype using Claris FileMaker, effectively shattering the clinic’s initial fears that the project would be lengthy and complex. The reaction from the clinic owner was immediate: “I’m in! Let’s make this happen.”
The clinic’s leadership was impressed not only by the prototype’s capabilities but also by the speed with which it was created. This agility, a hallmark of Claris FileMaker, allowed Caufero to address the clinic’s concerns about flexibility and future scalability head-on.
If it hadn’t been for FileMaker, we probably would not have been able to convince them. Once they saw the prototype and realized we could grow the system alongside their clinic, that’s what sealed the deal.

The result of this collaboration is CarePort, a comprehensive hospital management system built on the Claris FileMaker platform, tailored precisely to the unique needs of the clinic.
Developed by a team of three in just four months, the application now serves as the digital backbone of the clinic, supporting every stage of the patient journey.
CarePort was designed to cover every aspect of the clinic’s workflow, from the moment a patient walked in to the final billing process:
- Patient flow: From registration to walk-ins and appointment scheduling, the system ensures smooth, efficient intake.
- Clinical care: Doctors can now record vitals, consultations, diagnoses, lab requests, prescriptions, and services, all in one place.
- Financial management: Billing and payments are automated and directly linked to clinical services, reducing errors and disputes.
- Operations: Pharmacy stock is managed in real time, procurement workflows are streamlined, and staff payroll is automated.
- Reporting & analytics: A real-time dashboard provides instant insights into revenue, patient flow, and operational performance.
- Governance & security: Role-based access control ensures that sensitive patient data is only accessible to authorized personnel, fully aligning with Ghana’s privacy standards.
Today, six key staff members (the head doctor, administrator, lab scientist, pharmacist, accountant, and head nurse) rely on CarePort daily.
Since not all staff were initially comfortable with digital tools, Caufero provided role-specific training and remained closely involved during the early stages. This hands-on support ensured a smooth transition and strong adoption across the clinic.
As a result, DC Clinic now operates entirely without paper or Excel. CarePort has become the single, reliable source of truth for all operations.
The impact: Measurable change, meaningful results
The impact of CarePort has been both measurable and meaningful, felt at every level of the clinic, from management and staff through to the patients themselves.
Careport is an EMR system developed by Caufero using FileMaker, implemented at DC Clinic to streamline both clinical and administrative operations. It provides an intuitive, user-friendly platform for doctors, nurses, pharmacy, lab, and human resource teams.
The system integrates patient charting, lab results, and medication management into one interface, enabling real-time access to information and improving care coordination. Its simplicity and efficiency have made it highly successful, enhancing workflow, reducing delays, and supporting better patient outcomes across the clinic.

Operational efficiency
Administrative tasks such as patient registration, billing, and record retrieval now take 50–60% less time, significantly streamlining daily operations. This increased efficiency has led to an estimated 40% reduction in administrative and billing errors.
Staff who previously spent minutes searching through paper files can now retrieve a full patient history in seconds, freeing up meaningful time to focus on care rather than administration.
Cost savings
By eliminating paper, reducing billing errors, and optimizing stock management, DC Clinic has realized significant cost savings.
More accurate billing and faster patient flow have also led to increased daily revenue, as services are now captured and billed correctly.
Real-time visibility
The clinic’s management now has a clear, real-time picture of the operations. The dashboard provides instant insights into daily revenue, patient numbers, and stock alerts that flag shortages before they become critical. What once required hours of manual compilation is now available instantly.
Patient experience
For patients, the improvements are equally visible. Wait times have been significantly reduced: where previously a single information officer with a notebook created queues even for just two or three arriving patients, the system now allows staff to register or recall patients in moments.
The continuity of care has also improved dramatically, as doctors now have immediate access to a patient’s full history, enabling more informed and efficient consultations.
Billing is also now transparent and consistent, eliminating the arguments that were once common with manual calculations.
The source of truth is now in the system. When we compared manual processes to CarePort during the pilot, discrepancies almost 100% of the time came from the manual side. We quickly discarded the paper.
Continuous evolution: Growing with the clinic
CarePort was never meant to be a static solution. Since its initial deployment, the system has continuously evolved to meet the clinic’s growing needs.
New capabilities, such as inpatient management, staff administration, payroll, and procurement workflows, have been seamlessly integrated over time.
Currently, Caufero is working on two major updates:
- Integration with Ghana’s National Health Insurance Scheme (NHIS): This will reduce duplicate data entry and streamline claims processing, making operations even more efficient.
- A patient-facing portal: Patients will soon be able to securely access their medical records remotely, further enhancing transparency and convenience.
Looking ahead, Caufero plans to leverage AI to provide management with “on-the-go” reporting and predictive analytics, ensuring that DC Clinic remains at the cutting edge of healthcare management.
By using FileMaker, they were able to create a system that was not only perfectly tailored to the clinic’s current needs but also flexible enough to evolve with them as new needs emerge.
The future: Scaling care across Africa
What started as a project for a single small clinic is now a blueprint for the future. Caufero plans to expand CarePort to other clinics across Ghana and Africa, bringing scalable, customizable healthcare systems to underserved markets.
By doing so, Caufero aims to empower underserved healthcare providers with the tools they need to operate efficiently, reduce errors, and deliver better patient care.
The DC Clinic deployment is the proof of concept that demonstrates precisely what is possible when local expertise, the right platform, and a genuinely collaborative client relationship come together.
